Terms and Conditions for Corporate Projects by Shop moi ça

The process for a confirmed corporate project:

  1. We review the form you submitted.
  2. We reply with a proposed box content and pricing.
  3. Once the proposal is approved, we confirm the quantity, delivery date, and box personalization options.
  4. An electronic invoice will be sent for payment.
  5. Once payment is received, we begin sourcing the products and assembling the boxes.
  6. We confirm the shipping information before dispatch.

Retainer fee for custom and complex projects:

Due to the significant amount of sourcing and design work required for complex custom gifts, a minimum retainer of $250 is required to begin the project. This includes two (2) rounds of design revisions beyond the initial concept. This fee will be deducted from the final invoice once the order is confirmed.

Sales taxes:

All orders are subject to federal and provincial sales taxes, determined according to the billing address and applied accordingly. If shipping addresses are provided after the first invoice has been issued, a second invoice will be sent including shipping fees and applicable sales taxes. For multi-address shipments, each individual shipment will be subject to the federal and provincial taxes applicable to the destination.

Invoicing and payment methods:

An electronic invoice will be sent by email. Please specify the billing address to appear on the invoice.

Payment methods:

  • Credit card (for invoices under $20,000)
  • Interac e-Transfer
  • Bank deposit

Payment terms:

Due upon receipt: The full balance must be paid to SHOP MOI ÇA before the gift boxes are shipped.

Orders over $20,000 and/or deliveries scheduled more than 30 days in advance: An electronic contract will be issued and a non-refundable 50% deposit will be required to confirm the project.

Any late payment beyond the agreed deadline on the contract or invoice will automatically incur administration fees per month. In the event of unpaid invoices, refusal of a payment arrangement, or refusal to participate in mediation, Shop moi ça reserves the right to mandate a collection agency at the client’s expense or initiate legal proceedings without further notice.

Cancellations, returns and exchanges:

All orders are final and non-refundable. Any damage reported to SHOP MOI ÇA will be handled directly between SHOP MOI ÇA and the carrier, with photo or video proof of the damage.

Additional options for boxes:

QR code video message: Add a video to your boxes with a QR code linking to a personalized page: $25 per video

Micro-personalization (multiple messages): For personalized cards (recipient name or custom message): $2.50 per box

Multilingual double-sided cards: Management of double-sided cards (ex.: French front, English back) or content variants: $1 per box

Client-supplied item added to the box: A handling fee of $1 per item applies. This fee may vary depending on the size and weight of the item.

Box identification within a batch: Boxes can be grouped for batch deliveries without identification. If specific identification is required (ex.: recipient name, order number, etc.), an additional fee of $2 per gift box applies.

Substitutions:

All items included in this proposal are subject to supplier availability at the time of order confirmation. If a supplier is unable to provide the requested inventory due to supply issues or delays, SHOP MOI ÇA reserves the right to propose substitutions for client approval. Cost differences may apply.

Individual shipping:

While we do our best to keep shipping costs as low as possible, parcel shipping in Canada can be expensive. SHOP MOI ÇA will select the most reasonable shipping option offered by its carriers, generally Canada Post. Delivery typically occurs within 1 to 3 business days, though the exact day and time cannot be guaranteed. A list of tracking numbers will be provided so you can monitor shipments. Any request for expedited shipping or signature confirmation must be discussed separately with your SHOP MOI ÇA representative.

Shop moi ça reserves the right to adjust shipping fees for any corporate orders not placed through the online store. If actual shipping costs exceed the standard rates (12$ or 16$ depending on the address), the difference may be invoiced.

Shipping timeframe:

SHOP MOI ÇA cannot guarantee an exact delivery date. The client and the SHOP MOI ÇA representative will agree on a target delivery window of 3 to 8 days during which the boxes should arrive. SHOP MOI ÇA will make every effort to ensure delivery within this timeframe but is not responsible for carrier delays. SHOP MOI ÇA will not be liable for delays caused by circumstances beyond its control, including but not limited to: strikes, shortages, supplier failures, riots, fires, floods, storms, earthquakes, natural disasters, wars, government actions, labor conditions, or any other force majeure event.

Shipping fees:

Shipping costs are estimated based on the information available at the time of signing. They may be adjusted once complete address lists are received and/or when shipments are prepared, to reflect actual carrier costs depending on destination or shipment batches. The client will be informed of any adjustment before final invoicing.

Delivered package tracking:

Packages are generally left at the door without signature. If the carrier considers the location unsafe (apartment building, busy street, etc.), a delivery notice will be left informing the recipient that the package is available at the nearest pickup location. Recipients may also request a second delivery attempt online or by phone, free of charge.

Address verification and shipment grouping

All addresses provided to SHOP MOI ÇA must be verified by the client through an Excel file containing the full address list. The file must be submitted and confirmed 7 days before the scheduled shipping date. If not, shipping will be delayed by one business day for each day of delay. For business addresses, the suite number and company name must be included. For residential addresses, the apartment number must be provided where applicable. SHOP MOI ÇA will import the address file into shipping software and flag any invalid addresses for verification or correction. It is the client’s responsibility to provide corrected addresses promptly to avoid shipping delays. A valid phone number must be provided for each recipient. If the carrier has difficulty locating the address or requires a correction or access code, they may contact the recipient directly by phone.

Boxes can be grouped for batch deliveries without identification. If specific identification is required (ex.: recipient name, order number, etc.), an additional fee of $2 per package applies.

Address errors and returned packages:

If packages are returned by the carrier due to address errors, recipient absence, or other circumstances, a fee of $15 per package will be charged (return and handling fees). Returned packages are generally processed within 2 to 4 weeks after the project completion, or upon receipt from the carrier.

Two return options:

  • Grouped delivery of returned packages to a single address (at the client’s expense)
  • Donation to a local women’s shelter (community option, no additional fee)

Fees may also apply to address change requests once packages are already in transit.

Responsibility for client-supplied items:

If a package is lost in transit or stolen after being handed to the carrier, the seller will not be responsible for items supplied by the buyer (for example: letters, cards, gift cards, or promotional items originally provided by the client).

Inventory and stock shortages:

Local products are subject to availability, often coming from small businesses with limited production capacity. If a product becomes unavailable for your gift boxes, you will be informed before the final order is placed, and alternative options will be proposed.

Unforeseen circumstances:

While our typical production timeline is 3–6 weeks under normal conditions, circumstances beyond the control of SHOP MOI ÇA may cause delays, including but not limited to: natural disasters, global pandemics, equipment loss, or any event preventing normal operations. In such cases, a member of the SHOP MOI ÇA team will inform the client of delays, substitutions, or any disruption to the project and, if necessary, collaborate with the client to extend the production timeline in order to complete the order.
